How it works
Most of this isn't AI. That's the point.
Hiring software that calls everything “AI-powered” is asking you to trust a black box with decisions about people. Forage Recruit is built the other way round: the deterministic work runs first and does most of the lifting, a model handles the one judgment it is genuinely better at, and a person makes every decision that matters.
This page is the mechanism — the order things run in, and where each line is drawn. Features covers what each module does.
The screening funnel
Every application goes through five layers in a fixed order. The cheap, certain work happens first; only what survives it reaches a model. Three of the five layers are pure logic, and nothing is ever hidden from you — a candidate who fails a hard rule is flagged and ranked lower, not removed.
- 01
Parse
DeterministicResume text is extracted and structured — name, experience, skills, education. No AI needed; deterministic extraction.
- 02
Hard rules
DeterministicKnock-out requirements are checked automatically. Candidates who don't meet them are flagged, not hidden — you can still see and override.
- 03
Code signal
DeterministicFor technical roles, public GitHub profiles are checked. A candidate without a public profile is not penalised; they rank lower on that signal but stay fully visible.
- 04
AI ranking
ModelCandidates who pass the rules are ranked against a per-role scorecard. The same candidate can rank differently for a backend role than a frontend one.
- 05
Visible reasoning
ModelEvery ranking carries a plain-language explanation — which skills matched, what experience was relevant, and why one candidate placed above another.
The AI narrows the pile. It never makes the call.
Where the AI runs — and where it doesn't
What it does
- Ranks candidates who already passed your hard requirements, against a scorecard you can read.
- Explains each ranking in plain language, on the card, before you act on it.
What it never does
- Reject anyone. There is no auto-rejection at any score, at any threshold.
- Decide who advances. A person records every pass, fail or second chance.
- Re-rank when new applications arrive. Each candidate is scored once, independently.
- Score behind glass. The scorecard is explicit and auditable, not a black box.
End to end
The six stages a candidate moves through — Configure → Intake → Schedule → Decide → Offer → Onboard — and what the system is doing at each.
Your process becomes the system's rules
Before anything runs, you describe your hiring process once: the interview stages, their order, the time gaps between them, and the conditions under which someone skips ahead — a senior candidate, a referral.
From that point the process is enforced rather than remembered. A candidate occupies exactly one stage, moves only along paths you defined, and cannot be advanced past a stage that has not been recorded. The pipeline everyone agreed to in a meeting becomes the pipeline the software will actually allow.

- Forage Recruit supplies
- Enforcement, and a record of every move
Applications are processed on arrival, in layers
Nothing queues waiting for a recruiter to open it. The moment an application lands it goes through a funnel, and the order of that funnel is the point: the cheap, certain, deterministic work happens first, and only what survives it reaches a model.
That ordering is what makes the output defensible. Most of the sorting is done by rules you wrote and can point at, and the model is never asked for a judgment that logic could have made. Nothing is removed from your view at any layer: a candidate who misses a hard requirement is flagged and ranks lower, and you can still open them and override.
Scheduling resolves against real calendars
Interviewers connect their own calendar — Google, Microsoft or Zoho — and manage their own availability. Forage Recruit books against that, not against a shared sheet someone updates on Fridays.
Assignment can be manual when you want the control or automatic when you don't. Each interviewer gets their own workspace: requests they accept or decline with a reason, and a line-up of what they have accepted. The back-and-forth that normally happens in a group thread happens as state changes in one place.

The decision stays with a person — deliberately
After an interview the interviewer records one outcome: pass, fail with a reason, or another chance. A pass advances the candidate automatically. A fail archives them with the reason attached. Another chance holds them in the same round.
We did not automate this stage, and that is a design decision rather than a gap in the roadmap. Choosing who to advance carries judgment and accountability that belong to a person. The decision is human; only its consequences are automatic.
Offers are generated from a template that was approved first
Offer letters are built in an editor as templates: fixed content locked, variable fields bound to the candidate's record. A template cannot be used until an approver has passed it — the gate exists before the first letter goes out, not as a review after one went out wrong.
Generate, preview against real data, send, and track acceptance in one place. When every opening is filled the system holds the remaining candidates, and reopens them if someone declines.
- Locked
- Clauses, terms, anything legal signed off on
- Filled
- Name, role, compensation, dates, from the record
Accepted becomes employed, and lands in the directory
Forage Recruit requests the documents, captures what comes back, and lets a recruiter verify each file before employment is final. Background verification can be switched on per process.
A verified hire flows into your live organization directory and takes their place in an org tree tracking reporting lines, location and work mode. The person you hired appears in the company structure the moment they are confirmed, without anyone re-typing them into a second system.
Where Forage Recruit stops
Limits we chose, not ones we are working around. If one of these is a dealbreaker, better that you know now than after a trial.
- One workspace per organization. No multi-org accounts — someone working at two companies uses a different email for each.
- No auto-rejection, at any score.
- No re-ranking when new candidates arrive.
- No black-box scoring. The scorecard is explicit and auditable.
